Position:                    Business Centre Co-ordinator
Level:                        2a
Reports to:                Assistant F.O. M.
Responsible for:        Business Centre Co-ordination
Unit:                          Multi Unit

Main Role & Objectives:
Ø  Welcome and assist guest at the business centre
Ø  To coordinate meetings and banquet functions with the respective departments
Ø  Perform any other duties that may be assigned from time to time by supervisors in the both properties

Main Tasks & Responsibilities:
Ø  Receive and handle complaints. If necessary, direct complaints to duty manager
Ø  Handle all guest inquiries in person or over the phone. Also take reservations
Ø  Read log book and follow-up when necessary
Ø  Check daily arrival list and follow-up on special request
Ø  Liase closely with other sections of front office and other departments, e.g. Housekeeping, Sales, Engineering and F&B outlets & Banqueting
Ø  Handle incoming mails and ensure delivery to rooms and respective departments
Ø  Acknowledge items on behalf of guests and ensure delivery
Ø  Be aware of all relevant information in order to assist guests
Ø  Usage of front office terminology
Ø  Promote F&B outlets and other services like banquet facilities
Ø  Assist guest with flight reservations and conformations
Ø  Send faxes for guests
Ø  Make copies
Ø  Help the guest using internet and computers
Ø  Do typing if requested
Ø  Establish the daily report and register any cash transactions
Ø  Check the petty cash float at the start and end of the shift and enter the audit using the computerised documents
Ø  Responsible for petty cash float provided for your shift
Ø  Keep the log book updated
Ø  Ensure proper functioning of Business Centre equipments in connection with engineering
Ø  Take down messages for guests and executives and ensuring delivery
Ø  Attend departmental meetings and training programs
